Privacy statement for applicants

Introduction

As an organisation we are committed to complying with the General Data Protection Regulation (GDPR). We also believe it is important to provide you as an applicant with information about:

  • the personal data relating to you that we process;
  • the purposes for which we process data;
  • the provision of data to others;
  • how long we retain your data;
  • how we secure data.

This privacy statement is intended to provide you with information about your rights. The statement also provides information about who you can contact if you have a question, request or complaint. Personal data is any information relating to an identified or identifiable natural person. For you, this means that the information is either about you directly or could be traced back to you. This might be your name, date of birth and address, for example, but your email address and telephone number are also considered personal data. The processing of personal data refers to all actions that we may carry out using your personal data, from collection to destruction. This is therefore a very broad concept. Actions that constitute processing of personal data include: the collection, recording, organisation, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, blocking, erasure or destruction of data.

Purposes for which we can process your personal data under the GDPR

We process your data for one or more of the following purposes. These are identified in the GDPR:

  • the data is needed in order to decide whether we wish to make you an offer of employment;
  • the data is needed in order to enter into and/or perform the employment contract.

The data about you that we process

We only process the following data relating to you:

  • your surname, first and middle name(s), initials, title, gender, date of birth, address, postcode, town or city, phone number and other data that we need in order to communicate with you, such as your email address;
  • data about courses, training and placements you have undertaken or will be undertaking;
  • data about the role you are applying for;
  • data about the nature and scope of your current job, and data about termination of your current employment contract;
  • data about the nature and scope of previous jobs that you have had and about the termination of your previous employment contracts;
  • other data relevant to performance of the role, which you have provided or which is known to you;
  • other data required in order to implement or apply a law.

The above data will only be processed for one or more of the following purposes:

  • evaluating your suitability for a role that is vacant or may become vacant;
  • internal monitoring and business security;
  • the implementation or application of a law.

NVP Recruitment Code

We comply with the NVP (Dutch Network for HR Professionals) Recruitment Code. This code contains basic regulations that should be observed by companies entering into employment relationships with applicants during recruitment and selection to fill vacancies.

Transmission of your personal data

We will only use your personal data for our own purposes (our own business operations) in the context of the recruitment process and performance of the employment contract. We will only use your data for the purposes for which we obtained it.

Storage of your personal data

When storing your personal data, the principle we apply is that we do not retain your personal data for longer than necessary to achieve the purpose for which we processed it. We take the statutory retention periods into account. We may store data for longer if we have a legitimate interest in doing so, e.g. to keep your data on file. We will inform you if this is the case.

The security of your personal data

We ensure the security of your personal data through physical, administrative, organisational and technical measures. We therefore provide an appropriate level of security. We adjust this periodically when necessary.

Your rights

Under the GDPR, you have the right to submit a complaint about the personal data relating to you that we process to the competent authority supervising compliance with privacy legislation. In the Netherlands, this is the Dutch Data Protection Authority (Dutch DPA) in The Hague. However, we would appreciate it if you contact us in the first instance, to see whether we can resolve your complaint.

If you would like to invoke your rights, you can contact the person referred to in this privacy statement. If we have good reason for rejecting your complaint, we will explain why we have done so.
